As a Patient Care Coordinator, you will be our patients' first point of contact, ensuring they receive a warm welcome, the very best patient experience, and a continuum of care. Your responsibilities will include scheduling appointments, managing patient records, and coordinating with our dental team to provide seamless care. Our Patient Care Coordinators play a crucial role in maintaining the efficiency of our dental practice. Their primary responsibilities include ensuring the hygiene schedule is fully booked, accurately entering patient information into our data system, addressing patient inquiries, and making re-care calls. Additionally, they are responsible for closing out the patient's appointment, collecting payments, scheduling follow-up visits, and maintaining the organization and cleanliness of the patient's waiting and front-desk areas. Ultimately, a top-performing Patient Care Coordinator will execute all tasks to ensure the smooth operation of the practice.
Key Responsibilities
- Warmly greet and welcome patients to the practice, fostering positive relationships with both patients and staff. A bubbly and outgoing personality is essential for this role.
- Work together with the Treatment Coordinator to complete daily tasks.
- Serve as the primary point of contact by promptly answering incoming phone calls.
- Scheduling, rescheduling, or canceling patient appointments as needed in Eaglesoft.
- Daily verifications of insurance using Weave software and/or telephonic, use of Google Chrome insurance websites.
- Strong communication and interpersonal skills that effectively interact with patients and staff.
- Schedule follow-up appointments and provide telephonic reminders using the system you have been trained on, such as Weave.
- Entering CDT codes for patient appointments.
- Assisting patients with completing forms accurately on time before their appointment.
- Preparing patient charts, daily schedules, and other documentation for the dental staff and the hygienist.
- Accurately update and maintain patient records and document recent treatments and procedures.
- Communicating with dental insurance providers to determine patient benefits.
- Verify methods of payment and collect payments as needed.
- Performing general office duties such as scanning, filing, and faxing.
- Assist the front team or clinical team with any task they may have momentarily.
- Follows office protocols and maintains confidentiality of patient information.
- Capable of efficiently managing multiple tasks in a fast-paced environment while maintaining keen attention to detail.
- Professional demeanor and appearance.
Qualifications:
- High school diploma or GED required.
- 1-2 years of dental front desk experience required.
- Required to understand the entirety of dental procedures with firm knowledge of dental terminology.
- 3 years of customer service experience required.
- Dental claim-filing experience is preferred, but not required
- Proficient in using various software and technology tools (i.e, Excel, internet browsers, Dropbox, iPads), with the ability to quickly learn and adapt to new systems and applications as needed
- Experience using Eaglesoft dental practice management software preferred.
- A working knowledge of general administrative practices is required.
- Excellent telephone etiquette and customer service skills are required.

- Motivated and eager to undergo training in new and additional office procedures.
