The Front Office Coordinator is the steady, trusted anchor of the practice—creating a tranquil, organized, and patient-centered experience from first contact through treatment completion. This role blends empathy, consistency, and precision to ensure seamless scheduling, clear financial communication, and a supportive environment for both patients and the clinical team. More than managing tasks, they build trust and stability; driving efficiency, strengthening relationships, and elevating the overall patient experience.

OBJECTIVES
Assure optimal daily patient flow with minimal gaps and maximum efficiency Create a welcoming, calm, and organized front office experience for every patient interaction Assure all administrative and financial processes are completed correctly and smoothly Complete confirmations daily and adjust scheduling to prevent cancellations and no-shows Accurately explain treatment costs and payment options while maintaining patient trust Keep schedules, patient records, and office systems clean, accurate, and up to date Act as a reliable communication bridge to ensure clinical flow is uninterrupted Create long-term trust through consistent follow-up, communication, and care COMPETENCIES
Ability to build relationships, listen to patient needs, and provide relevant solutions Ability to follow processes with precision; dependable in executing daily responsibilities without error Entry-level understanding of dentistry and dental terminology Support high accuracy in scheduling, financials, and patient records Communicate with empathy, patience, and clarity; especially around finances Keep systems structured, orderly, and easy for the team to navigate Handle scheduling conflicts, patient concerns, and daily pressures with steadiness and composure Ensure tasks (confirmations, follow-ups, financial arrangements) are completed fully and on time Work cooperatively with clinical staff to maintain smooth operations and patient flow Adjust to schedule changes and patient needs while maintaining overall system integrity EDUCATION & EXPERIENCE
GED or High School Diploma Front Office Administrative Experience ( 2+ year required) Dental Office Experience ( Preferred) CareStack Practice Management Software Experience (Preferred) Experience with dental insurance (Preferred) PHYSICAL REQUIREMENTS
