We are looking for a polished, highly organized Patient Experience Coordinator who can confidently manage the front office while delivering a warm, elevated patient experience.
Primary Responsibilities
Patient Experience
- Greet patients warmly and professionally
- Manage check-in/check-out process
- Maintain a calm, polished front office presence
- Ensure patients feel valued and cared for
Scheduling & Production
- Manage doctor schedule for maximum efficiency
- Reduce cancellations and same-day reschedules
- Confirm appointments strategically (not passively) (text, email, call options, automated)
- Understand production goals and schedule accordingly
Financial & Administrative
- Present treatment estimates confidently
- Collect payments and manage balances
- Coordinate insurance claims and follow-ups
- Maintain accurate patient records
Communication
- Handle inbound calls with warmth and authority
- Convert new patient calls into scheduled appointments
- Follow up with unscheduled treatment
Ideal Candidate
- 2+ years dental front desk experience (cosmetic or high-end preferred)
- Strong communication skills
- Comfortable discussing finances and large treatment plans
- Highly organized and proactive
- Confident but kind
- Growth mindset
- Emotionally intelligent
- Not afraid to hold boundaries with patients
Compensation
- Competitive hourly rate based on experience. ($22-30, higher with managerial experience)
